Role overview

A Power BI Administrator is responsible for managing and governing Power BI environment to ensure secure, scalable, and high-performing business intelligence delivery. This role focuses on tenant configuration, workspace and dataset governance, access control, monitoring, and collaboration with data engineering and analytics teams.

Key responsibilities

  • Manage Power BI tenant settings, licensing, and capacity allocation (Power BI Premium/Embedded).
  • Configure and enforce governance policies for workspace creation, content publishing, and dataset refreshes.
  • Administer user and group access through Azure Active Directory integration and role-based access controls.
  • Monitor usage, performance, and health of Power BI services using audit logs, usage metrics, and monitoring tools.
  • Optimize dataset and report performance by advising on data modeling best practices, incremental refresh, and query optimization.
  • Implement and maintain deployment pipelines, content lifecycle management, and CI/CD processes for reports and datasets.
  • Ensure security and compliance by implementing row-level security (RLS), data sensitivity labels, and data loss prevention (DLP) controls.
  • Troubleshoot and resolve platform, authentication, and connectivity issues with Power BI, gateways, and data sources.
  • Manage and maintain on-premises data gateways, including installation, clustering, and update coordination.
  • Provide training, documentation, and support to report authors and business users on best practices and tools.
  • Collaborate with data engineers, architects, and IT teams to align Power BI with enterprise data strategy.

Required technical skills

  • Strong knowledge of Power BI Service administration, workspace architecture, and licensing models.
  • Experience configuring and managing Power BI Premium capacities and performance tuning.
  • Experience with on-premises data gateway configuration, troubleshooting, and high-availability setups.
  • Understanding of data modeling, DAX, and Power Query (M) to guide report authors on performance improvements.
  • Knowledge of security features such as row-level security, sensitivity labels, and data governance frameworks.
  • Ability to use monitoring and logging tools, including Power BI admin portal, Microsoft Purview/Azure Monitor, and audit logs.
  • Familiarity with deployment pipelines, source control (Git), and automated deployment practices.
